Frequently asked questions

Getting started

  • Who is Flatren for — landlords, tenants, or both?

Both. You can sign up as a landlord (you own and rent out properties) or as a tenant (you rent from someone). If you do both, switch roles inside the app from Profile Role — same account, two perspectives. New accounts default to landlord; flip the switch any time.

  • Is there a version for Android phones?

Yes — Flatren is on Google Play. If you signed up with Google or email, sign in with the same account on Android and all your leases, payments and records are there. Accounts created with Sign in with Apple work on iPhone only.

  • How do I create my first lease as a landlord?

From the Properties tab, tap Add property Add unit Create lease. The lease form asks for rent amount, currency, frequency (weekly, monthly, yearly), start date, and an optional security deposit. Once saved, tap Share invite and send the link to your tenant — when they accept, the lease activates and rent requests start flowing automatically.

  • What's a 'unit', and why isn't 'a property' enough?

A property is the place you own — a building, a house, an address. A unit is what you actually rent out inside it: an apartment, a single room, or the whole place. Most landlords have one unit per property. Multi-let landlords keep each unit separate so each tenant has their own lease and rent schedule.

  • I rent out rooms in a shared flat. How do I set that up?

Add each room as its own unit inside the property: Properties your property Add unit. Every room then gets its own lease, its own tenant and its own rent schedule, so payments never mix between flatmates.

  • How do I invite my tenant to Flatren?

Open the lease and tap Share invite. Your tenant gets a one-tap link that installs Flatren if needed and joins them to the lease. The link stays valid until used; if you cancel the lease, the link goes with it.

  • I'm a tenant and my landlord isn't on Flatren. Can I still use it?

Yes. Tap Add lease from the Leases tab and fill in the rent details yourself — Flatren creates a solo lease that you control end-to-end. Each rent period turns into a payment you can mark paid as you transfer. Later, if your landlord joins Flatren, you can invite them and the lease becomes shared — every past payment moves with you. The free tier covers one active solo lease.

  • I'm a landlord and my tenant isn't on Flatren. Can I still use it?

Yes. Create the lease normally, then on the draft tap 'Activate without tenant'. The lease flips to active and you start tracking rent on your own — same single-toggle Mark as paid you'd use as a tenant on a solo lease. The invite link you got on create stays valid; when your tenant joins later, every payment you recorded becomes shared on their side automatically. The free tier counts one active lease regardless of which solo flavour, same as today.

  • When does my tenant start getting rent requests?

The moment they accept the invite link and join the lease. Until then the lease sits inactive and no rent gets queued. Once they're in, Flatren creates each rent request automatically on the schedule you set when you created the lease.

  • I created a lease and the tenant accepted it but there is no payment created. Why?

When your tenant accepts the invite, two payment requests are created right away: the first rent and the deposit, if you set one. Both use the lease start date as their due date, so they show up in the Payments tab the moment the tenant joins. Future rent isn't queued all at once. Each period's request is created automatically about a week before its due date — so for a monthly lease starting January 1st, you'll see January's rent immediately, February's around late January, March's around late February, and so on. Weekly leases work the same way: next week's request lands roughly seven days before it's due. If you don't see the first request a few seconds after acceptance, pull-to-refresh — the create runs server-side and usually lands within a second or two.

  • Can a unit have more than one lease?

Yes — but only one active at a time. When a tenancy ends you close the lease; the unit can then host a new lease for the next tenant. Old leases stay readable so you (and the previous tenant) keep the full payment history.

  • What happens if I uninstall the app?

Nothing. Your account and data stay intact. Reinstall, sign in, and you're back where you left off. Your tenants still see the lease they joined.

Payments

  • What does marking a payment as sent do?

It tells your landlord the transfer is on its way. The payment moves from pending sent. Your landlord then confirms it on their end (confirmed) once the money lands in their account. Both sides see the same three states the whole way through.

  • When does a payment count as overdue?

When its due date has passed and it's still pending — nobody has marked it as sent. If the payer marks it as sent after the due date, it moves to Awaiting instead of Overdue: they've done their part, and the next step is the confirmation on the receiving side.

  • Can I attach proof of payment?

Yes. Each side can attach up to three files to a payment (ten with Pro) — a transfer screenshot, a receipt, an invoice. Images and PDFs up to 10 MB each. Neither side can remove what the other attached.

  • Can I cancel a payment request?

Yes, if you created it and it hasn't been confirmed yet. Open the request and cancel it; both sides see it as cancelled, and it stays in the payment history.

  • Can my tenant ask me for money, for example after paying for a repair?

Yes — payment requests work in both directions. The tenant creates a request, picks the category (Repair, for example) and I receive, and can attach the receipt. You pay them back through their payment handler, they confirm it, and it sits in the same history as the rent.

  • I'm tracking rent on my own. How do I mark a payment paid?

On a solo lease — whether you're the tenant tracking your own rent or the landlord who activated without waiting for the tenant — payments use a single Mark as paid step (no separate sent / confirmed handshake, because there's no other side to confirm). Tap the payment, mark it paid; tap again to un-mark if you got it wrong. The state flips back to overdue or pending depending on whether the due date has passed. Once the missing party joins via the invite link, every paid entry becomes {confirmed|confirmed} on both sides automatically.

  • Can I log a payment that already happened?

Yes. When creating a payment, switch on Has this already been paid? — this records a transfer that's already been sent and (for paired leases) confirmed, so the full historical context is in Flatren even for rent that happened before you started using the app. Past payments skip the reminder and overdue logic, since they're already settled.

  • Can I track property expenses, not just rent?

Yes. From the Payments tab, tap Add Property cost. Pick a category — Mortgage Repairs Utilities Insurance Tax Letting agent Furnishing Other — and Flatren rolls these into the Property costs card on your home dashboard alongside your rental income. Use the 6-month trend and category breakdown to see where the money is going.

  • How do I change my payment handler?

Open Profile Payment handlers. Add one (or more) Revolut, Bunq, Monzo, PayPal. You can mark one as preferred — that's the handler Flatren will pre-fill when the counterparty taps a payment request. If your counterparty has the handler also filled in on their end, you will still be able to mark payment sent / confirmed as usual, but the pre-fill makes it quicker to get the money where it needs to go.

  • I'm paid in a different currency than I want to track in. Does that work?

Yes. Each lease has its own currency (set when you create it); your home dashboard rolls everything up in your preferred currency from Profile Preferred currency. Daily exchange rates convert across — totals reflect the FX rate at the time, with a small footnote when rates are stale or unavailable.

  • Will Flatren remind us about due rent?

Yes. Tenants get a notification a few days before each rent is due, on the due date, and if it goes overdue. Landlords get a heads-up when a payment is sent, confirmed, or marked overdue. You can fine-tune which event types you want notifications for in Profile Notifications.

  • What if my tenant doesn't want to install the app?

They don't have to. You can still use Flatren to schedule the lease and record payments yourself. The shared-state experience is better when both sides are in, but the product works from either direction.

Records

  • What are records?

Records are a shared log between landlord and tenant for anything you'd otherwise track in messages, photos, or a notebook: meter readings, condition photos, inspection visits, repair requests, formal notices, or general notes. Each record sits against a lease, a unit, or a property; both sides see the same one. Add photos or documents as evidence directly on the record.

  • What's the difference between the record types?

Six types: Reading (meter snapshots), Condition (photos of the place), Visit (inspections and viewings), Request (something you'd like the other side to do — a repair, a notice period, a question), Notice (formal communication you want timestamped), and Note (general entries that don't fit elsewhere). The type drives the iconography and a small bit of default behaviour — for example, Condition records ask for acknowledgement by default.

  • What does 'requires acknowledgement' mean?

When you turn this on, the other party has to actively respond to the record — confirm it, dispute it with a reason, or decline it. Until they do, the record sits in Awaiting state and shows up in their badge counter. Use this for anything you want the other side to acknowledge they've seen, like an inspection result or a notice. Records on solo leases never require acknowledgement, because there's no counterparty.

  • Can I dispute a record someone else created?

Yes. Open the record and tap Dispute — you'll be asked for a reason, which becomes a system comment in the record's thread. The state flips to Disputed and both sides see it. Disputed records stay readable forever; they aren't deleted. Resolution happens off-platform — Flatren is the audit trail, not the arbiter.

  • Can Flatren remind me to log the next reading?

Yes — set a reminder. When you add a record, turn on Set a reminder and pick weekly, monthly, yearly or once. On the due date you get a notification that opens the next record, already filled in. Your reminders live under Reminders (the calendar icon on the Records tab), where you can edit, pause or delete them. If the other party set a reminder on a record you confirmed, tap Remind me about the next one to get notified too. The free plan has 1 active reminder at a time.

  • I'm on a solo lease. Can I still create records?

Yes. Records on solo leases work as a personal log — you can still file readings, condition snapshots, visits, and notes. The acknowledgement / dispute flow is hidden since there's no other party. If your landlord later joins Flatren and the lease becomes shared, your existing records stay with the lease and they get access.

Account & billing

  • Is Flatren free?

Yes, for one active lease at a time, with no card and no expiry. Free covers unlimited properties (one unit each), full payment tracking, invites, notifications, up to 3 attachments per payment or record, and one active reminder. Pro lifts those limits and removes ads.

  • When do I need to upgrade to Pro?

When you need a second active lease, a second unit in a property, more than 3 attachments on a payment or record, more than one active reminder, or the all-time money card. Flatren shows the Pro paywall at that moment. Anything you already have keeps working on the free plan; the limits only apply when you add something new.

  • Can I cancel my Pro subscription (iOS)?

Yes — in Settings Apple ID Subscriptions on your iPhone. Apple doesn't let third-party apps cancel subscriptions on your behalf. Your access stays until the current period ends.

  • Can I cancel my Pro subscription (Android)?

Yes — in Google Play, tap your profile picture Payments & subscriptions Subscriptions Flatren Cancel. Google Play doesn't let apps cancel subscriptions on your behalf. Your access stays until the current period ends.

  • What happens if my Pro subscription lapses while I have more than the free-tier limit?

There's a 16-day grace period after a billing issue while we keep retrying the charge. During grace you can renew Pro from inside the app and nothing changes. You'll also see a banner that opens a 'Pick which lease to keep' sheet — choose now, and the others end gracefully on a date you control. If the grace window expires without resolution, Flatren automatically keeps your most recent lease on the free tier and ends the rest. Tenants on the ended leases are notified too. Re-subscribing afterwards won't restore the ended leases.

  • Can I be both a landlord and a tenant on Flatren?

Yes — same account, two roles. The role pill in the top-left of every tab is a shortcut: tap it to jump to Profile Role and flip the switch. The primary tab (Properties for landlords, Leases for tenants) updates immediately; everything else (Payments, Profile) shows the merged view.

  • How do I delete my account?

Profile Delete my account. We soft-delete for 30 days so you can restore if you change your mind, then permanently remove your data. If you sign back in during the grace window, Flatren cancels the deletion and you're back to where you were. See the Privacy Policy for the full cascade.

Privacy & data

  • Does Flatren move or hold my money?

No. Rent goes directly from your tenant's payment app (Revolut, Bunq, Monzo, PayPal, bank transfer — whatever they already use) to yours. Flatren tracks the status of the transfer without ever touching it.

  • Where is my data stored?

In the EU, on Google Cloud infrastructure (Firebase). GDPR-compliant by design: you can export your data and delete your account from inside the app at any time.

  • How do I export my data?

Profile Export my data. Flatren packages everything we hold about you — profile, leases, payments, notifications, attachments you uploaded — into a ZIP and gives you a 48-hour download link right in the app. No emails to wait for.

  • Can I upload my ID, passport, or lease contract?

You can attach receipts, photos, and documents related to your lease, payment, or property — but keep personally identifiable information (PII) out of them. PII is anything that uniquely identifies a person: national ID numbers, passport numbers, full bank account numbers, and the like. If your lease contract contains those (legally required in some EU countries), handle that document outside Flatren and share it with your tenant directly. Your data export and deletion still fully include whatever attachments you do upload.

  • Can I change my ad consent choices later?

Yes. Profile Ad Preferences re-opens the Google consent form, letting you accept or withdraw your earlier choice at any time. If you withdraw, ads still appear on the free tier (legitimate-interest basis under EU law), but Flatren stops requesting personalised creatives and Analytics collection is disabled.
